The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH, Kosovo Energy Efficiency Project (KEEP) is seeking to fill the postion of:

Office and Finance Assistant

Overall purpose of the post

The position holder will implement procedures, policies and regulations in the project including budget, accounting, finance and administration.

Main tasks and responsibilities

The office and finance assistant will perform the following tasks and responsibilities:

  • Manages incoming and outgoing correspondence and calls
  • Maintains and follows up the calendar of project deadlines and events
  • Maintains the project’s databases (monitoring, contacts etc.)
  • Supports administrative, organizational and logistical aspects of project activities related to project advisory committee meetings, project coordination meetings, working meetings, trainings, workshops, seminars, public events, study tours etc.
  • Takes minutes during the project’s formal and working meetings
  • Supports the compilation and editing of projects reports and presentations
  • Organizes the travelling and accommodation of project staff and of incoming international experts
  • Ensures guests’ and experts’ comfort
  • Organizes translations of documents
  • Coordinates with the GIZ office on the mode of service delivery
  • Ensures the contract management of the project in line with GIZ rules
  • Files the documents in reference files in line with GIZ’s filing rules
  • Files the documents in the data management system (DMS) and takes care of its maintenance
  • Edits and files reports and project documents
  • Ensures that computers and software function properly
  • Monitors the availability of accessories and stocks
  • Carries out procurement in accordance with guidelines
  • Ensures the establishment of correct procurement including handing over procedures of supplies to the different partner institutions
  • Ensures the completeness and update of the inventory list
  • Supports the preparation and implementation of internal and external audit missions
  • Monitors the monthly accounting and financial plans
  • Manages the Cash Box of the project
  • Maintains the Bank Book of the project
  • Helps monitoring expenses in accordance with the budget
  • Prepares invoices and receipts for accounting and executes payments and checks for compliance with GIZ rules
  • Supervises costs and expenditures of the project budget and helps preparing the financial report of the project
  • SAP finance application
  • Maintains and records the inventory list
  • Reports and implements travel costs reimbursement, participant registration, logistical issues of activities
  • Prepares and contributes to field missions, campaigns, fairs, workshops, information days etc.
  • Preparation of workshops and trainings in Kosovo and interprets the discussions etc.

Required qualifications, competences and experience

Qualifications

Professional experience

  • At least two years’ experience in a comparable position

Other knowledge, additional competences

  • Proficient knowledge of Microsoft Office
  • Excellent written and oral knowledge of English or German language
  • Good communication skill
  • Excellent interpersonal skills

 

Location

  • GIZ Office, Pristina; frequent travel to partner municipalities shall be required

Expected start date and duration of the assignment

  • May 2019 – 31December 2019
